How to Staff Jobs by Skills and Certifications in ZartonAI
Tell each job what it needs, let ZartonAI check your team’s skills, still-valid certificates and availability, then put the right crew and job lead on it in one step

The job is sold, the materials are ordered, and the customer has cleared the week. Then the question nobody wrote down: who is actually going? The tech who knows mini-splits is booked across town. The one who is free has an expired certification. You find out on the driveway.
This guide shows you how to staff jobs by skills and certifications in ZartonAI. You tell each job what it needs, ZartonAI checks your whole team against it — skills, certificates that are still valid for the length of the job, and who is free on those dates — and then you put the right crew and job lead on it in one step.
Why matching crews to jobs matters
For electricians, plumbers, HVAC companies, auto body shops and general contractors, sending the wrong person is expensive. A second trip costs a day of labour. Work done by someone without the right card can fail an inspection or create a liability problem. And double-booking a good tech means one customer waits while the other gets a rushed job.
Most small shops keep this in the owner’s head. That works until the owner is on a roof, on vacation, or the team grows past five people. ZartonAI turns it into something the office can check: each job lists what it needs, each person’s profile lists what they can do, and the match is done for you.
What ZartonAI checks when you staff a job
| Check | What it looks at | Why it matters |
|---|---|---|
| Skills | The job’s required skills against each person’s skills | Sends someone who has done this kind of work |
| Certifications | The job’s required certifications, counted only if valid through the end of the job | Avoids a card expiring mid-job |
| Rota | Whether the person is scheduled to work on the job’s dates | No surprises on days off |
| Time away | Whether they are away during the job | Leave and vacations are respected |
| Other jobs | Whether they are already crewing another job at the same time | Stops double-booking |
The result is a ranked list: the people who fit come first, and everyone else is shown with the reason they fall short — a missing skill, a certificate that runs out, a day off, or another job.
How to staff a job by skills and certifications, step by step
- Record what each person can do. Before you can match people to work, ZartonAI needs to know what your team can do. Each team member’s profile has a place for their skills and their certifications. Add the things that actually decide who you send — “Panel upgrades”, “Mini-split install”, “Backflow testing”, “Aluminum welding” — and the licenses and cards people hold, with the date each one runs out.
- Open the job and set what it needs. Open the job from your jobs list. On the job page, fill in its required skills and required certifications. Keep the list short and specific: the two or three things the work truly cannot happen without. A job with nothing listed treats everyone as a fit.
- Give the job its dates. Set the job’s start and end dates. This is what lets ZartonAI check availability. Without dates, it can still compare skills and certifications, but it will tell you plainly that availability was not checked.
- See who can do it. Ask ZartonAI who can staff the job. You get every team member checked against the job’s skills and certifications, and against their availability across the job’s dates — on the rota, not away, and not already crewing another job at the same time. The best fits come first, and anyone who falls short is shown with the reason.
- Check certificates against the end of the job. A certificate only counts if it is still valid through the last day of the job. If someone’s card runs out halfway through a two-week install, they will not show as a fit for that job, even though the certificate is valid today. That is your cue to renew it or pick someone else.
- Assign the crew and the job lead. Put the people you picked on the job and choose one of them as the job lead — the person the office and the customer deal with on site. You can replace the whole crew or add people to the crew already there. Names are matched to your team as they appear in ZartonAI; anyone who can’t be matched is reported, not invented.
- Check the week before it starts. Use the team rota and workload views to sanity-check the week: who is working when, which days have nobody on, and what work is due. The owner briefing also shows who is on which job, who is free and who is away, so a gap shows up before Monday morning, not during it.
Tips and common mistakes
- Use the same words on jobs and people. If profiles say “Mini-split install” and jobs say “Ductless AC”, the match has nothing to compare. Pick one name for each skill and stick to it.
- Don’t list everything. A job that requires eight skills will match nobody. List the must-haves; leave the nice-to-haves out.
- Keep expiry dates current. The certificate check is only as good as the dates on each profile. Update them when someone renews.
- Set dates before you staff. No dates means no availability check. A “fits” result on a job without dates is about skills only.
- Hours adding up isn’t the same as the right person being free. The coverage view can say there are enough hours in the week while the one person with the right certificate is booked elsewhere. Staff each job against its own needs.
- Name a job lead every time. It gives the customer and the office one person to call, and it makes the daily briefing clearer. See our guide to running jobs for how the rest of the job flows.
Do it with Claude
ZartonAI works with Claude through the Zarton connector, so you can staff jobs in plain language. Claude reads who fits before it suggests anyone, recommends the people who do, and says why the others fall short. It can also set a job’s required skills and certifications and put the crew on the job when you tell it to. Try requests like:
“Who can do JOB-14? It needs panel upgrade experience and a current journeyman license.”
“Set the Harbor View gutter job to need ‘Gutter install’ and a fall protection card.”
“Put Marco and Dana on the Ruiz re-roof, with Marco as lead.”
“Add Sam to the kitchen remodel crew — don’t take anyone off.”
“Who on the team knows mini-split installs, and who’s free next week?”
Claude uses team members’ names exactly as they appear in ZartonAI. If a name doesn’t match anyone, it tells you instead of guessing.
Frequently asked questions
What happens if a job has no required skills?
Everyone shows as a fit for skills. Add the skills and certifications on the job page so the match means something.
Why isn’t someone with the right certificate showing as a fit?
Usually because the certificate runs out before the job ends, or because they are away, off the rota or on another job during those dates. The list says which.
Does staffing a job check availability without dates?
No. Without start and end dates, ZartonAI compares skills and certifications only and tells you availability wasn’t checked.
Can I add one person without changing the rest of the crew?
Yes. Add them to the current crew instead of replacing it, and the people already on the job stay.
Does assigning a crew change the rota?
No. Putting people on a job sets its crew; it does not change anyone’s working days on the rota.
